User lifecycle is the path of an employee account over time.

User lifecycle includes onboarding, role changes, and offboarding. This guide focuses mostly on onboarding because that is where many teams first notice the pain.

  • It takes a long time to prepare accounts and equipment.
  • It is hard to track what has been completed.
  • New hires do not know what to expect.
  • Teams scramble after the new hire has already started.
  • Productivity is lost during the first few days.
  • Access is granted inconsistently.

Recommended approach

Make the process visible before trying to automate it.

1. Identify the current process

Where does new hire information come from? Who receives it? What tools are created? Who owns each step?

2. Document the process

Keep it simple. A manual checklist is better than an undocumented process.

3. Find the biggest pain points

Look for delays, confusion, last-minute work, and frustration for the new hire or hiring manager.

4. Improve one chunk at a time

Start with the highest-friction step and look at what your existing tools can already do.

Automation

Automation is easier when the process is already repeatable.

Do not try to fully automate everything at once. Many HRIS tools have basic automation features built in, and those features work better when the steps, owners, and exceptions are already understood.

The path to a fully automated user lifecycle usually starts with a boring but important step: making sure everyone understands the current process.

A simple onboarding map starts with plain questions.

  • Where does new hire information come from?
  • Who receives it and when?
  • What accounts, groups, devices, and tools are needed?
  • Who owns each step?
  • What gets missed most often?
  • What causes the most last-minute work?
